JOIN OUR BOARD OF DIRECTORS!
The Hunt Club Community Association (HCCA) is recruiting for our volunteer Board of Directors. We are seeking candidates who reflect the demographics in our Hunt Club community, and preferably, our four neighbourhoods – Quinterra-Woods, Hunt Club Woods, Hunt Club Estates and Hunt Club Chase.
According to our By-Laws, it is the duty of the Past President to organize the election of new Directors.
We’re looking for people who:
- are residents of Hunt Club and/or are already contributing to one or more of our community initiatives;
- have a burning desire to help make our community the best place possible to live, work and play;
- look forward to sharing ideas with and information with our River Ward councillor, who attends our monthly meetings;
- are ‘team players’ and are prepared to actively participate in the Association;
- are looking to connect with other residents to help shape a safe, healthy, and vibrant community.
There is an abundance of talent, skill sets and interests right here in Hunt Club and we’re looking to harvest these to enrich and strengthen our community association.

Board Member Roles and Responsibilities
1. President/Chair
- Presides at Board meetings
- Creates a purposeful agenda in collaboration with the Board
- Appoints people to committees and assigns committee chairs
- Serves as the contact for Board issues
- Sets goals and objectives with the Board and ensures they are met
- Holds members accountable for attending meetings
- May take on some CEO responsibilities when it comes to volunteers
- Has financial authority to approve expenses (double signature).
- Qualities: Qualified and passionate individual. Approachable and an objective listener. Strategist with a deep knowledge about the organization.
2. Vice-President/Chair
- Prepares to assume the office of the President
- Fulfills the President’s duties when the presiding officer is absent or if that office becomes vacant
- Assists the President in the execution of his or her duties
- Serves on Board committees as requested to learn the operations of the Board
- Works closely with the President to transfer knowledge and history to prepare for leadership
- Reviews bylaws and brings required updates and suggestions to the President
- Has financial authority to approve expenses (double signature)
- Qualities: Similar qualifications to the President. Able to step up whenever necessary
3. Treasurer
- Reconciles bank accounts and produces financial statements, which they present to the Board.
- Ensures tax-related documents and legal forms are filed on time, such as the documents required to maintain a nonprofit organization’s tax-exempt status.
- Serves as Chair of the Finance Committee and Financial office of the organization (has financial authority to approve expenditures – double signature).
- Manages, with the Finance Committee, the Board’s review of and action on its financial responsibilities.
- Prepares the annual budget and presents it to the Board for approval.
- Reviews the annual audit and answers questions from Board members.
- Qualities: Highly trustworthy individual that consistently demonstrates integrity. Responsible and organized. Ability to represent the organization with the banking institution.
4. Secretary
- Assures that an agenda has been prepared by the President and that the agenda is distributed in advance of the meeting
- Oversees the distribution of background information for agenda items to be discussed
- Prepares the official minutes of the meeting and records motions, discussions, votes, and decisions
- Prepares and provides the previous meeting’s written minutes to Board members before the next meeting and records any changes or corrections
- Schedules and notifies Board members of upcoming meetings
- Schedules and notifies the membership of events and information on behalf of the President and the entire Board
- Qualities: Strong communication skills and the ability to organize and prioritize tasks. Extremely driven and detail-oriented individual, well-versed in administrative work. Quick learner and multitasker.
5. Past President
- Responsible of planning, advertising, and executing the annual election in a professional, unbiased and non-partisan manner
- Provides input and support to the President transfering institutional knowledge.
- Qualities: Previously President.
6. Website and social coordinator (Vice-Secretary)
- Publishes under appropriate pages motions and decisions made by the Board.
- Publishes project updates on the website.
- Launches forms and surveys on the website.
- Maintains a calendar of events and social campaigns.
- Reviews and approves on behalf of the Board with Vice-President support the various posts for social media campaigns.
- Assures that documents (bylaws, Form-990, roster of Board members) are accessible to members.
- Qualities: Passionate about the association’s professional image. Strong organizational skills and ideally, bilingual. Strong computer/web skills and ability to learn.
7. Leadership liaison coordinator (President advisor/assistant)
- Liaison point between leader volunteers, the President and the Board;
- Collects input and memos for decision on behalf of the Board;
- Assists the President in building agendas to include leaders and committees’ work items and motions for Board consideration;
- Maintains a list of actionable items by the Board to enable leaders’ activities;
- Forward Board meeting invitations to member leaders when their topics are under discussion or a presentation is expected.
- Collects social media campaign material from leader members for their projects for approval by the Board, manages access to the association’s CANVA account.
- Qualities: Strong interpersonal skills and ability to engage, encourage, and motivate.
